Volunteer Presenter Agreement

This agreement is entered into by Basingstoke Community Radio – hereafter known as the station, and the Presenter (Here after known as presenter).

This agreement is on-going while you are a presenter on Basingstoke Community Radio unless and until it is replaced by a revised agreement.

  1. The station undertakes to provide the following to the Presenter:
  • Mission Statement,
  • Community Broadcasting Code of Practice via web link,
  • Presenter code of conduct,
  • Station Policies and Station Rules upon request.

  1. The station undertakes to provide facilities, training, infrastructure and a safe working environment that enables the presenter to work in a community radio station as a volunteer broadcaster.

  2. The station undertakes to always encourage live broadcasting. If this is not possible programs may be pre-recorded or voice tracked in advance and played via our computer automation system. These programs are to be played only at the discretion of the Program and / or Station manager.

  3. The presenter undertakes to comply with the requirements of the Community Broadcasting Code of Practice and the Broadcasting Services Act 1992 and any other applicable legislation, and accept all liability attached to the station caused by their breach of such Code or Act.

  1. The Presenter undertakes to accept responsibility for the content of their program, and so far, as it is possible to do so, agrees to comply with the laws relating to defamation, libel and slander, obscenity and contempt of court.

  2. The presenter undertakes to conduct their work for the station in the spirit of its Purpose and Objectives, Governing Principles, Rules, Policies and Procedures.

  3. The presenter undertakes to accept all directions and decisions made by the Station Manager and / or Program Manager concerning — programme content, & technical quality,

Presentation skills and on-air conduct, access to station premises, use of station equipment and property, strategic planning, risk management and Occupational Health and Safety.

  1. The Presenter agrees to support the stations outside events during the year and understands that these events are an important part of Basingstoke Community Radio’s commitment to community support and involvement, and all volunteers who present a show on Basingstoke Community Radio are expected to support a min of 3 community outside events each year, failure to do so, may incur a station contribution of £50.00 per year failure to do so may result in their show being taking off air until a meeting has been arranged and matters addressed

  2. In relation to the transmission of their program, the Presenter undertakes:
  • To be at the station premises, ready to present their program a minimum of 30 minutes before their broadcast time.
  • To make themselves aware of the musical content of their program / playlist;
  • To remain on the premises and in control of their program for its full duration and until the playlist change over
  • To ensure that their program / playlist complies with the appendix playlist policy and structure.pdf
  • to broadcast sponsorship and community announcements and other logged items as listed on the appendix playlist policy and structure.pdf during their program.
  • To ensure that their program content is played from the computer and/ CD’s, and not taken directly from Spotify, Apple music, Amazon music or any other music apps.
  • To provide a pre-recorded program or a pre voice tracked program, in the event they cannot do their program time slot at least 24 hours before broadcast time.
  • To notify the Program and / or Station manager by email at least 24 hours (a longer time is preferable) before broadcast time if unable to present their program on a particular day (except in an extreme emergency].
  • To notify the Program and / or Station manager by email of any guests they have on their program.
  • To ensure that any guests they have on their program do not operate any broadcasting equipment (including all computers etc.) and to take full responsibility for the correct and appropriate behaviour and activities of those guests whilst they remain on the station premises.
  • To ensure their person and attire is neat and tidy and that they can be identified as a presenter by wearing the station lanyard.
  • To refrain from openly criticising the station, other presenters and volunteers. This action may lead to immediate dismissal. Note: There are other more appropriate avenues for addressing concerns (i.e. put them in writing to the Program and / or Station manager).
  • Will provide to the Station / Program Manager a show audio promo with in 1 month of starting their show, and will update their show promo every 6 months, failure to do so may result in their show being taking off air until a meeting has been arranged and matters addressed.

  1. The presenter undertakes to comply with any reasonable request by the Program and / or Station manager to change their broadcast time, the day, programme content or length if special circumstances arise. the station shall at all times retain the right to control and formulate the structure and timing of programs.

  2. The station undertakes to give the presenter access to Basingstoke Community Radio resolution processes as set out in the STATION RULES, by request.

  3. Basingstoke Community Radio retains the copyright for any presenter’s programs, notwithstanding other copyright materials broadcast within their program such as music.

Should a presenter wish to rebroadcast their program through other broadcast methods, they must do so within the guidelines set out in the stations rebroadcast policy.

  1. The Presenter understands that the Program and / or Station manager have the right to remove any program from air if it fails to comply with station Rules, policies, guidelines, governing principles, management directions, statutory requirements (e.g. logging) or if the presentation skills, on-air manner/behaviour and station etiquette are not of a standard acceptable.

  2. All presenters understand that:

All presenters / show / programs are assessed and reviewed on a regular basis by the station management.

Any new presenters will be on-air on a trial basis for a Probationary Period lasting up to three months.

Note: (1) A presenter can be taken off-air at any time, if performance is not satisfactory.

  1. The Presenter understands and agrees to pay back to the station any costing for their own show / program / show jingles (£25.00 ), if they leave their presenting position within 6 months of their starting date.

  2. The Presenter undertakes to comply with the stations offensive language quick reference guide that prohibits, at all times, the use of any material which may contain bad and/or explicit Language, swearing and inappropriate sexual, drug or terrorist references [appendix offensive-language-quick-reference-guide .pdf ].

  3. The station undertakes that it will take every care with recorded material left by the Presenter at the station but cannot accept any responsibility for loss or damage.

  4. All station volunteers undertake to treat any volunteers, guests of the station and staff with consideration and respect and will not discriminate based on race, religion, age, gender, disability and sexual orientation.

  5. The presenter undertakes to take full responsibility for the safety, security, and proper use of any key(s), electronic key fob, or other property which is made available to them and to promptly return any such item(s) in good condition to the station immediately on the expiry of this agreement. The loss of keys, electronic key fobs will incur a replacement charge [key £10.00 / electronic key fob £10.00]. Any damage or loss is to be reported immediately to the Program and/or Station manager.

  6. The Presenter undertakes not to remove station equipment or property including any audio USB sticks or CD’s.

This includes copying music from the station computers or using station equipment to burn CD’s for personal use.

This is illegal under the Copyright Act.

  1. The station undertakes to provide station equipment and facilities for the production, preparation and presentation of programs. Station equipment may not be used for any other purpose without the prior consent of the Station Manager and / or the program Manager.

  2. The Presenter undertakes to not make commercial/promotional representations on behalf of the station, to any person or organisation without prior authority from the Program and / or Station manager.

  3. The Presenter undertakes to check the notice boards, and the whiteboard and for personal notices in the mail tray.

  4. The Presenter undertakes to attend, where possible, station meetings’, as arranged.

  5. The Presenter undertakes to attend basic and updated training sessions as directed by the Program and / or Station manager.

  6. All presenters agree that as part of the stations continued support confirm a monthly donation of £10.00 to the station via a direct debit and the local giving platform, this monthly payment will continue each month until the termination of this agreement.

  1. All presenters will be expected to keep the studio and offices clean and tidy and may be asked from time to time to carry out specific cleaning duties.

  2. The Presenter undertakes to keep their contact details and subscription to the station email group and WhatsApp group current and up to date.

Note:

(1). Being a Presenter on Basingstoke Community Radio is a privilege not a right.

(2). No Presenter owns their airtime (refer to point #9).

 

Presenters Code of Conduct.

 

Basingstoke Community Radio Code of Conduct

Mission Statement:

To entertain, to inform and to support all of the people within our community.

Basingstoke Community Radio is a registered charity, relying on its volunteers to maintain certain standards of behaviour and performance to reach the public through its radio broadcasts.

Volunteers of  Basingstoke Community Radio who take a position as a radio presenter are required to be aware of and to understand the following rules and abide by them at all times.

In general terms presenters shall act in a manner consistent with the mission statement & objectives of the station and shall not act in any way prejudicial to the viability and integrity of the Station. Any breach reported to the management team may result in the presenter being suspended until such time as the matter can be discussed with and considered by management. Serious breaches may result in a permanent suspension of the presenter and their broadcast rights.

In conjunction with the Radio Code of Broadcasting Practice, standards of broadcast shall be of a level that caters to the general community. The choices of music, issues and language shall reflect that standard. No explicit or offensive language shall be broadcast during this time,  please see  appendix Language Policy

Presenters shall not, under any circumstances, drink alcohol, take drugs or smoke in the studio nor eat food or drink over the equipment. Animals are also not permitted in the studio at any time, Other than assistance dogs. (by prior arrangement.)

 

No one under the age of 14 shall be allowed in the studio unless supervised by a parent or agreed guardian.

The presenters shall respect the contents of the studio and the building at all times, report any damage or loss to the management and leave the studio in a tidy state. All rubbish is to be removed from the studio at the end of the shift.

Volunteers shall respect other volunteers, shall not engage in physical or provocative acts towards other presenters, nor shall in any way interfere with the legitimate broadcast of any other presenter.

Under no circumstances must the station  and / or building key codes be passed on to a 3rd party, including other presenters, unless authorised by the Station and / or Program Manager.

Presenters shall fulfil the stations contractual obligations to advertisers. Community notices and trailers are to be broadcast in accordance with the guidelines set by the Programme Manager- see appendix  Show guide doc v1

Presenters shall inform the programme manager/ or station manager, as soon as possible if they are unable to make their scheduled broadcast. A presenter missing two consecutive scheduled broadcasts without good reason shall be considered to be in breach of this code.

Any messages received during a broadcast shall be noted in full and passed on to the appropriate person as soon as possible.

After completing a show the presenter must ensure that the studio is reset and that the desk has been switched over to  ” SERVER ” and playing and that the CRM volume is turned down, that the windows are shut, lights turned off and the  doors are locked.

Presenters shall be available for training in the use of studio equipment and studio protocols as required by the management.
